Payments & Refunds

This policy explains how membership dues and event fees are charged, how billing works, and when refunds are available. It forms part of our Terms of Service.

How payments are processed

Membership dues and event fees are handled by Join It, the membership platform we use for our roster. You enter your card details directly with Join It and its payment processor — the Society never sees or stores your full card number. We keep only limited records, such as your membership level and renewal date, so we can manage your account here.

Membership dues

Paid memberships are billed at the amount and interval shown when you join. We'll show the price and interval clearly before you confirm, and any change to your dues takes effect only after we give you notice.

Whether your membership renews automatically depends on the option you choose when you sign up on Join It. Your renewal date is shown in your member account here, and Join It will email you before a renewal is due.

Cancellations and dues refunds

You can stop a renewal or update your details from your Join It account, reachable from your member account here. If you'd rather we did it, just get in touch. Your membership stays active through the end of the period you've already paid for.

Membership dues are otherwise non-refundable, including for partial terms. As a volunteer-run club, we put dues straight to work supporting our programs. If you were charged in error or believe there are special circumstances, please reach out — we'll always try to do right by our members.

Event and show fees

Some events and show entries carry a fee, shown at registration. For paid registrations:

  • You may cancel for a full refund up to 7 days before the event or the stated deadline.
  • Within 7 days of the event, fees are non-refundable, since we've usually committed those funds to space, materials, and preparations.
  • If the Society cancels or reschedules an event, you'll be offered a full refund or the option to transfer your registration.

Event fees are collected through Join It. Your spot is held as awaiting payment until an officer matches it to your Join It registration, usually within a day or two.

Failed payments and lapses

If a recurring payment fails, our processor may retry it over a few days. If it can't be collected, your paid benefits may pause until billing is brought current. You can update your payment method any time in your Join It account.

Price changes

Dues and fees may change over time. If we change recurring dues, we'll give you advance notice, and the new amount applies to your next renewal. You're always free to cancel before a change takes effect.

Receipts and records

You'll receive a receipt for each payment, and you can review your billing history in your Join It account. Membership dues and fees are generally not tax-deductible as charitable contributions, but please consult your own tax advisor about your situation.

If something looks wrong on your statement, please contact us at contact@ckbs.info before opening a dispute with your bank — we can almost always sort it out quickly and directly.
